Virtual Event

Overview

During the COVID-19 pandemic, Galliford Try and National Highways faced unique challenges in maintaining communication and transparency with stakeholders while advancing critical phases of major road improvement projects.

With in-person meetings and site visits restricted, the need for a comprehensive, interactive, and easily accessible virtual platform became paramount. I help develop an all-in-one virtual event hub to facilitate continuous engagement and information dissemination.

The virtual platform featured a dynamic lobby area that greeted visitors with banners highlighting key project information. This served as the main navigation hub, guiding users to different sections of the event.

We integrated live chat services, enabling stakeholders to communicate directly with project teams. This feature was essential for addressing questions and concerns promptly, fostering transparency and trust.

A digital form was created to collect stakeholder feedback and inquiries. This form was seamlessly integrated with Galliford Try and National Highways’ internal CRM systems, ensuring efficient data management and follow-up.

The Platform

The first step was to identify the diverse needs of the stakeholders, which included project managers, government officials, community representatives, and contractors. The platform needed to provide real-time updates, detailed project information, and a means for interactive communication.

By iteratively refining the wireframes and prototypes, we were able to identify and address specific needs, ensuring a user-centered design approach. This process allowed us to test various design elements and interactions early on, optimizing the user experience across different demographics and use cases.

To cater to a broad audience, the platform was designed to be fully responsive and accessible across various devices, including desktops, tablets, and smartphones. Information was organised clearly and concisely, ensuring users could easily find and access the resources they needed.

Results

The virtual event was a resounding success, with significant engagement from all stakeholder groups. The live chat feature was particularly well-received, allowing for real-time dialogue and immediate clarification of project details. The platform’s success led to its adoption for future road schemes, demonstrating its scalability and efficiency in managing stakeholder communication for large-scale infrastructure projects.
